About the vacancy
In this position, you will organize and coordinate the administrative function, ensure efficient office operations and support company operations.
Main tasks:
Main tasks:
1. Leasing fleet management (operating lease, 130 vehicles)
- Organization of fleet management work with multiple providers, budgeting
- Coordination of car repair, insurance, maintenance, tire service, quality control of work performed (through providers)
- Maintenance of norms and limits, organization of control and reporting on fuel and lubricant expenses (+washes, parking lots)
- Developing employees in the area of safe driving culture
- Updating procedures and instructions for the management and operation of the corporate vehicle fleet
- Record keeping, documentation
2. Office work organization
- Negotiating with the Business Center to ensure the necessary service and provision of landlord services in accordance with the contract. Monitoring of the commercial real estate market
- Providing quality services for repair, cleaning, maintenance of office premises
- Ensuring cleanliness and order in the organization's office, developing a culture of working in an open space among the organization's employees
- Providing the office with consumables
3. Organizing the work of Reception (outsourcing) and Administrative Assistant (outsourcing)
4. Organization of corporate cab service
5. Организация работы провайдеров мобильной связи
6. Ensuring interaction with the archive company
7. Organization of purchases of souvenirs for the company's employees, gifts in accordance with the annual calendar
8. Control of document flow with providers, participation in tenders
9. Participation in the organization of corporate events
10. Participation in other projects of the organization (ESG, Wellbeing, etc.)
Successful candidate profile:
- Higher education
- Relevant work experience from 3 years
- High level knowledge of Excel, Power Point
- Ability to work with large amounts of information, multitasking, attentiveness and responsibility
- Excellent communication skills
